General reception duties including receiving, screening and directing visitors, answering telephone calls and routing calls appropriately provide information about CCSCC and/or alternate resources. Provides clerical support as needed. This is a temporary position, substituting for the front desk personnel as needed. Hours will be assigned as needed.
ESSENTIAL DUTIES & RESPONSIBILITIES:
A high degree of professionalism is required of the front lobby receptionist since this position represents Catholic Charities to clients, corporate sponsors and the community at large. Attendance and punctuality are conditions of employment in this position. Bilingual Spanish/English skills required.
65% Customer Service and Telephone Skills: Receptionist duties include greeting clients, providing customer service, switchboard/answering telephones/demonstrating professional telephone etiquette, routing calls correctly, taking complete messages. Provides initial intake services for Immigration Department. Will also collect receivables as required. Will also oversee meeting sign-ins.
10% Computer Skills: Data entry of Applications for Employment, resumes and other information on a daily basis as received to ensure timely processing into the database. May use a variety of word processing functions.
SUMMARY OF OTHER JOB DUTIES:
15% General Office Skills: Use copy, fax and other office equipment. Complete other errands/projects as requested.
10% Mail Handling/Filing: Distribute mail, file office documents, demonstrating correct procedures and filing rules.
Education: High school diploma or GED.
Experience: Two years previous experience handling a front desk, heavy telephones, working with the public and acting as a resource to clients and internal customers in a bilingual setting (English/Spanish) required.
Required knowledge, skills & abilities:
Demonstrated superior time management skills.
Able to multi-task; uses good judgment and decision-making.
Provides outstanding telephone/switchboard skills and will not use Speaker Phone feature out of respect for client privacy/confidentiality.
Excellent customer service and communications: energetic, friendly, flexible, dependable.
Combination of sensitivity and firmness in dealing with a wide range of clients and demands; ensure client confidentiality in all cases.
Able to follow directions.
Team player who contributes to the overall success of the front lobby mission through positive interactions with the front lobby team while serving the mission of CCSCC.
Productive in completing data entry in a prompt and timely manner.
Proactive in implementing continuous improvements to front lobby operations.
Lifting up to 20 lbs.
Excellent attendance and punctuality are a requirement of the position.
Customer driven environment; frequent interruptions.
